Renewals Pipeline - Not all 365 days out

SOLVE

Hello!

We currently have all our deals (new and existing customers) in one pipeline. I am working on creating a renewals pipeline for customers who have our managed services offering. For context, our business has some SaaS components, but not all of our deals are set up the same way.

I watched videos suggesting setting the renewal pipeline stages as 1-3 months, 3-6 months, and so on. However, only about half of our customers are signed up for a 12-month engagement. Some of our customers have 2, 3, and 5-year agreements, while others only have 6-month agreements.

I like the idea of automating these stages to progress automatically and adding activity workflows for business reviews as they move forward. However, I’m curious if anyone has suggestions on how to label my deal stages, given the different timings for each customer?

Hey@KHennessy8

To customize deal stages for different customer agreements in HubSpot, you can create a flexible renewal pipeline.

Consider labeling stages based on the duration of the agreements, such as "Short-Term Renewal," "Mid-Term Renewal," and "Long-Term Renewal."

This approach allows for clear differentiation and automation based on the varying agreement lengths. Additionally, you can incorporate specific milestones or triggers within each stage to automate progression and trigger relevant workflows for business reviews.

This tailored approach ensures efficient management of renewals across diverse customer agreements.

@KHennessy8I would start with something simple that removes the timeframe all-together and combine that with a deal tag for timeframe so you can flag each of the engagement lengths.

For the renewal pipeline, something like:

Active Engagement (all active engagement deals)

Upcoming Renewal (automatically moves when 60 days prior to renewal)

Renewal Proposed (when you've sent a proposal for the renewal)

Closed Won = Engagement Renewed

Closed Lost = Engagement Cancelled

Depending on your sales process for renewals, you might need to add/modify the stages between the time it's active and renewed, but this should be a good starting point.
